Start with the source of truth

Record the manufacturer’s instruction, the asset identity and any site-specific engineering requirement. Do not turn a generic reminder interval into a technical recommendation.

Separate “due to inspect” from “must replace”

Some systems use calendar replacement. Others use condition, operating hours, differential pressure or a combination. The cue should describe the action it supports: an inspection reminder is not proof that a component has reached end of life.

Keep the point-of-service cue simple

A technician should be able to understand what to check and where to record it. Avoid placing a reminder where it can interfere with airflow, access, cleaning or safe operation.

Close the work order

After inspection or replacement, capture the date, responsible person, finding, action and next due point in the official system. If the cue is reset or replaced, make that a defined step rather than an informal habit.
